New - FishWare has a new Employee Calendar
FishWare Lodging and GuideService is a new application designed specifically for the Fishing Lodge and Hunting Lodge industries. FishWare is NOT an adaptation of motel or hotel software but is designed from the bottom up to service the unique needs of the Fishing/Hunting Lodge industries. The FishWare user interface is user friendly, designed specifically to show the "Big Picture" through intuitive calendars along with appropriate data form screens to facilitate easy data entry.
FishWare features weekly calendars to help manage guest overnight Lodging, Housekeeping, Meals, Fishing or Hunting Guides and a monthly reservations calendar that shows room availability and occupancy. Each calendar (7) features customized headers that display important summary information for that calendar. Current FishWare Calendars are the following:
Lodging - shows guest reservations along with CheckIn/CheckOut information, room availability
Housekeeping - shows scheduled housekeeping and maintenance events
Meals - shows guest counts for meals and special occasions (holidays, birthdays, etc)
Guides - shows guided trips for guides, also shows scheduled guide days off
Venue - shows which river/lake/fishing venue your guides/customers are at
Monthly Calendar - shows room reservations and holds for a 5 week period
Staff Schedule - the Staff Schedule allows you to view who is on duty each day for office, chef, waitress, housekeeping, maintenance, outside services and outside vendors
Most calendars show Holidays or scheduled events such as fishing schools at the bottom of the calendar.
The Lodging Calendar, shown below, shows customer reservation information including RVID, Check in, Check Out, Paid status (Paid, Deposit, No Deposit), CheckOuts (red or blue border around text), room under repair and Overbooking (red background). Rooms with a white background are available for booking. The application supports multiple reservations per room.
Lodging Calendar
The Lodging Calendar colors show the following:
Reservations without deposits (tan color)
Reservations with deposits (light yellow)
Rooms under Repair (bright yellow)
Rooms overbooked (Red)
Rooms in hold status (not shown) or with an expired hold (light blue)
Fully paid rooms (light olive)
Rooms available (white)
Rooms waiting for Housekeeping (Rose)
Borders are used to indicate checkout status and whether the customer has a lodging only reservation (no guided fishing trips scheduled)
The heavy blue border indicates a checkout where a room must be cleaned in order for a new customer that afternoon
The heavy brown border indicates a checkout where the room will be available after housekeeping is completed
The dotted border indicates a customer reservation who has lodging but has not scheduled fishing guides
Housekeeping Calendar
Housekeeping is an important part of running a lodge. FishWare automatically schedules room housekeeping when a reservation is created. In order to provide appropriate flexibility you can schedule housekeeping to a later date if necessary. In the event that housekeeping is delayed and a room is knowingly left dirty, the Housekeeping and Lodging calendars show the dirty room/rooms in a rose color as shown below. The Housekeeping calendar also manages maintenance events so that maintenance issues are shown on the calendar. Color coding shows rooms where housekeeping/maintenance are scheduled and where both housekeeping and maintenance are complete (olive backcolor as shown on rooms 1-4 for Sunday).
The Housekeeping Calendar is similar to the Lodging calendar in that it uses heavy borders to indicate when a full room service is required. As with the Lodging calendar, a heavy blue border indicates that we have a check out and a new check in occurring the same day - housekeeping must hustle! The brown border indicates that housekeeping is scheduled but that housekeeping could be deferred to a later date.
Light Olive indicates that all scheduled housekeeping and maintenance events for the room are done
Tan color indicates that a maintenance task is scheduled and incomplete
Bright Green indicates that housekeeping is scheduled and incomplete
Purple indicates that both housekeeping and maintenance are scheduled and incomplete
Bright Yellow indicates a room under repair
Rose indicates a room where housekeeping has been rescheduled for a later date in order to better balance the housekeeping work load
Meals Calendar
The weekly meals calendar will make planning guest meal counts and purchasing food easy for your staff. The calendar displays meal counts for each breakfast, lunch, appetizer and dinner meal including a heavy red border to indicate that 1 or more guests has special meal needs such as allergies or food preferences. The meals calendar also supports special occasions such as birthdays, anniversaries and holidays making it easy for the chef to prepare special meals or cakes.
The heavy red border indicates that one or more guests for that meal have allergies or special meal preferences. Images above the Dinner content indicate special events such as anniversaries, birthdays and holidays. Guest counts are shown for each meal allowing the chef to purchase the right amount of food ahead of time and prepare the correct amount of food for each meal.
Guides Calendar
The weekly Guides Calendar allows you to effectively schedule and manage your guided trips and scheduled Guide Days off. As with other FishWare calendars, color coding indicates appropriate conditions such as All Day Trip, Morning Trip, Afternoon Trip, Evening Trip, mixed reservation (Yellow, this indicates that something may be wrong with the reservation or optionally you can specify a mixed trip). As with the Meals calendar, the heavy red border indicates that a customer has a special meal requirement.
As with the other calendars, color coding on the Guides Calendar has special significance.
Red in the Header area indicates a customer trip reservation where a guide has not been assigned
Yellow in the Header area (not shown) indicates a trip assigned to a guide who has not been assigned a row on the calendar
Red in the Guide section (not shown) indicates overbooking, too many in a boat, etc.
Yellow indicates a mixed trip - this may be OK but it a reminder to review the trip details. A mixed trip could be mixing customers who don't know each other, a full day trip scheduled for one customer and a partial day scheduled for another and other issues which could negatively impact the customer experience
Blue indicates a scheduled day off for the guide
Green indicates a full day trip
Purple indicates a morning trip
Tan (not shown) indicates an afternoon trip (not shown)
Light Rose (not shown) indicates an evening trip (not shown)
Monthly Guest Reservations
Both management and the office staff will like the Monthly Calendar. This calendar shows occupancy for a given month including the current month through a 5 week period. This makes it easy to manage reservations for the back end of a month that extend into the next month as both are displayed on consecutive calendars. The monthly calendar shows occupancy along with payment status (Paid - PD, Deposit -$+, No Deposit -$-) and also shows rooms which are unavailable due to repairs. Seasons are displayed by color coding the weekday labels. Special events and designated holidays are shown at the bottom of the calendar (not shown). The summary information at the top of the screen displays monthly totals for bed counts, meal counts, available rooms, etc.
The Monthly Calendar shows basic room reservations along with deposit status. It also shows Holds and rooms under repair.
Green - shows a room reservation
Bright Blue - shows a room under a Hold condition - promised for a certain length of time
Light Blue - expired hold - shows a room where a customer has requested a reservation and the time that you have promised to hold the reservation for has expired - you can rent the room
Staff Scheduling Calendar
FishWare LodgeWare and FishWare Guide Service includes a staff scheduling module showing the "Big Picture" for the week. The module covers 7 staff/ourside service scheduling categories including Office, Chef, Waitress, Housekeeping, Maintenance, Outside Services and Manufacturers Reps. Each category shows the demand for the category on the top line (with color background) and the staff scheduled to meet the demand or in the case of outside vendors the vendor name. A simple double click allows you to edit each record.
Guided Venue Calendar
Many Guide Services will provide services on different rivers and lakes. The Guided Venue Calendar lets you see where your guides and customers are. The Guided Venue is also able to show Private Water.
New - Employee Calendar
The New Employee Calendar makes it easy to schedule staff and keep track of Staff Days Off. Staff Roles are displayed on the calendar including staff with multiple roles/day. For Staff who also can be scheduled as Guides, the Employee Calendar shows Guided Trip information also.
6 Week Guide / Staff Schedule
Individual Guide/Staff calendars along with the Schedule Forward Reports provide the ability to update Guides/Staff of their upcoming schedule by print out or by email. In working with Microsoft Outlook, FishWare can automatically create emails of Guide/Staff calendars or Schedule Forward Reports. As Guide/Staff calendar/report emails are created by FishWare they are automatically placed in the Outlook Outbox and a correspondence record created within FishWare. Updated Guide and Staff Calendars can easily be emailed or printed out.

FishWare Network Solutions
FishWare supuports multiple workstations. The shared database is hosted on the FishWare Server, remote stations can connect to the FishWare database and edit/view information. The FishWare Server doe not need to have a server operating system and runs well on Windows XP, Windows Vista and Windows 7. Hardware recommendations are detailed below.

- The FishWare Server (FishWare Host) computer is required, this computer will host the FishWare database and main FishWare application (FishWare Host)
- Optional workstations (FishWare Clients) can be installed on an ethernet network. These workstations can both view and edit data.
- FishWare is not supported for wireless networks due to both security and performance issues
FishWare Hardware and Software Requirements
FishWare is a hardware intensive application that requires modern hardware to maintain good working speeds. It is recommended that the FishWare Host application be run on a Windows computer with XP Professional, Windows Vista Business or Windows 7 Professional. Due to the demands of the application it is recommended that you use an Intel Dual Core Processor or higher with 1-2G of memory.

Hardware/Operating System Requirements FishWare is a database application built to run on Microsoft client operating systems using Microsoft technologies. A Server operating system is not required. Windows XP, Windows Vista and Windows 7 are supported. Both the FishWare Host and FishWare Client applications require a computer with sufficient processor and memory capability. For the Host computer FishWare recommends Intel Dual Core or Quad Core (preferred) processors with a minimum of 2G of memory. The FishWare client computers must load the FishWare data from across the network, it is recommended that Intel Dual Core with 2G of memory be the minimum processor/memory for a client. | |
